Privacy notice

Last updated: 12 October 2026

This notice explains what personal data 4MEC Limited collects when you try, buy and use CleanLytics ID Badge Designer — on these web pages, through our licence service and in the emails we send — and what we do with it. It does not cover the cardholder records and photos you keep in the app: they stay on your own computers, network or database, and your organisation is their data controller (section 4 of the terms).

Who we are

4MEC Limited is the data controller for the data described here. Questions or requests: support@4mec.co.uk.

What we collect and why

WhenWhat we keepWhy, and the lawful basis

You buyName, company, email, phone number, country and VAT number from the payment page; the number of PCs, the amount and Stripe’s references for the payment and invoice. Your card details go to Stripe — we never see them.To issue and manage your licence, refunds and disputes, and to keep accounting records. Contract and legal obligation.
You activate a PCThe licence key, the computer’s code and name, its operating system, the app version, when it was activated and last checked in, and its IP address. To license the PCs you’ve paid for and let you move a licence. Contract.
You ask for your key againThe email address entered, the time and the IP address. To send the key, and to stop the form being misused. Contract and legitimate interests.
You share between sites (optional)For each database set up to share: an id, the name you give it and its public key; for each package: who sent it to whom, its size and when. The content is encrypted for the receiving database — we can’t read it.To pass the changes on. Contract.
You download the app or use these pagesThe IP address, the time and what was asked for, in our server logs and activity log.To keep the service secure (blocking abuse, limiting requests) and see how it’s used. Legitimate interests.
You email usWhat you send us.To answer you. Legitimate interests or contract.

We don’t use cookies or tracking on these pages. The fonts are loaded from Google Fonts, which receives your IP address to send them. We don’t sell personal data or use it for advertising.

Who we share it with

  • Stripe — takes the payment, sends your receipt and works out the tax. Stripe’s own privacy policy applies to what you enter on its payment page.
  • Microsoft — our licence emails are sent through Microsoft 365.
  • Our hosting providers — for the web pages and the licence server.
  • Our professional advisers and authorities such as HMRC, when the law requires it.

Stripe and Microsoft may process data outside the UK. When they do, it is protected by UK adequacy regulations or the UK’s approved contract terms (the International Data Transfer Agreement or Addendum).

How long we keep it

  • Customer, licence and payment records: while your licence is in use, then six years (UK accounting rules).
  • Activation records: while the licence is in use; a deactivated PC’s record is kept with the licence’s history.
  • Trial records: kept so a PC can’t start a second trial. They hold no name unless you register.
  • Sharing packages: deleted as soon as they are collected, or after 14 days if they never are; the record of who sent what (never the content) goes 30 days later.
  • Activity and security logs: kept to protect the service and reviewed regularly; old entries are removed.

Your rights

You can ask for a copy of your data, ask us to correct it, delete it, restrict or object to how we use it, or to send it to you in a portable form. Email support@4mec.co.uk; we reply within one month. Some data we must keep for accounting, even if you ask us to delete it.

If you’re unhappy with how we’ve handled your data, please tell us first. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
